Contribution Statements

Generate year-end contribution statements, email them to members as PDFs, and let members download them from the web app.

Contribution statements (also called year-end contribution letters) summarize each member's giving for a calendar year.

Open them from Finance → Reports → Yearly Contribution Letters, or from Online Giving → End of Year Contribution Letters if your account only uses Online Giving.

Generating Statements

  1. Click Create New Report, choose the year, and click Preview Report. The preview shows the totals and whether each member is Ready or already has a statement (Report Exists).

  2. Click Review & Finalize Report and enter:

    • Statement Message — printed on every statement and included in the email.

    • Notes — internal only.

  3. Click Generate Contribution Reports.

Emailing Statements

  1. Open Past Reports and select the year.

  2. Use Email (or Resend) and Download on an individual member, or click E-mail Statements to send them all at once.

The bulk option shows how many statements are ready to send, can optionally resend to members already emailed, and lists members without a deliverable email address. Emails go out gradually, and the Emailed column updates as each is sent. Each email includes the statement message and the statement as a PDF attachment.

Emailing statements requires the Manage Financial Records and View Contribution Amounts permissions.

What's on the Statement

Each PDF statement covers January 1 – December 31 and includes:

  • Your church's name, address, phone, and website.

  • The member's name and mailing address, and the statement date.

  • Total contributions, number of gifts, and your statement message.

  • Giving by fund, followed by each contribution's date, fund, method, and amount.

  • An acknowledgment that no goods or services were provided in exchange for the contributions.

What's Not Included

  • Contributions that are not linked to a member.

  • Failed online (bank account) payments.

  • Transactions in categories marked Goods or services category?, such as camp fees or merchandise. See Finance Categories.

Member Access

When Online Giving is enabled, members can download their statements from the Giving page of the web app under Contribution Reports. Statements are not currently available in the mobile app.
